Hope Welty Public Library Board of Trustees Minutes

Call to Order:

The regular meeting of the Hope Welty Public Library (HWPL) District Board of Trustees was held at the library on September 13,2013. The Budget and Appropriation Ordinance meeting was called to order at 1:00PM. by President, Genea Lawler. Board members answering roll call were: Mary Hissong, Genea Lawler, Janice Lonnon, Nancy McDermith, Chelle Shivley and Library Director, Shari Rawlings. Tracy Mogged arrived late. Absent: Linda Martin  Tracy Mogged made a motion at 1:15PM to adjourn the Budget and Appropriation Ordiance hearing, seconded by Mary Hissong. All present voted aye. No nays. Motion carried.

At 1:16PM  the regular meeting was called to order by President, Genea Lawler. Board members answering roll call were: Mary Hissong, Genea Lawler, Janice Lonnon, Nancy McDermith, Tracy Mogged, Chelle Shivley and Library Director Shari Rawlings. Absent: Linda Martin.

Public Forum :

 Jerry Shively attended with no concerns.

Minutes of the Last HWPL Meeting:

Minutes of the meeting on August 9, 2013 were read and approved as read. Chelle Shively moved to accept the minutes as corrected. Tracy Mogged seconded the motion. All present voted aye. Motion carried. Absent : Linda Martin.

Treasurer's Report:

The treasurer's report was given by treasure, Chelle Shivley and showed a balance of $117,615.26 before paying this month's bills. Expenses for the month are $6871.44.  Tracy Mogged moved expenses be allowed and Nancy McDermith seconded the motion.  Roll call vote yes: Mary Hissong, Genea Lawler, Janice Lonnon, Nancy McDermith, Tracy Mogged and Chelle Shively. No nays. Absent :  Linda Martin. Motion carried.

Time for Director:

 Movie night was well attended with about 60 people enjoying the first outdoor movie.

The President of the Monticello library board visited Hope Welty and expressed compliments on our library.

 Shari will contact Todd Henricks about having another adjustor come and check on the hail damage to the siding and what partial payment for damage would be.

The village did have someone survey drainage issues and have a report later.

Shari will check with other libraries on policies of groups using facilities.

The library website will continue giving general information about new books and events.

 The recent cupcake class was attended by 8 people and  another class will be held before the holidays.

 Family Reading night will be held Nov.21 with Clifford activities planned for the evening.

 New hours will begin with shortened hours on Saturday 10 -12 and extended hours for Mondays opening at 3PM instead of 4 pm.

Old Business:

Nancy McDermith made a motion to accept the Budget and Appropriation Ordinance as filed. Janice Lonnon seconded. Roll call vote yes: Mary Hissong, Genea Lawler, Janice Lonnon, Nancy McDermith, Tracy Mogged and Chelle Shivley. No nays. Absent: Linda Martin

 Tax Levy tabled to October meeting

 The Personal and Vacation day policy remains unchanged from 2012 policy

Siding plan is in place

Survey committee met and changes were made in hours for Monday and Saturdays. Our strength was listed as great staff. Weakness was Monday after school hours. Threat was listed as having only 1 person on duty in the evenings.

 Shari reported on problem with the front door in extreme heat. She will contact someone to check on this problem.

New Business :

Mary Hissong made a motion to accept the Holiday Closing schedule as presented. Tracy Mogged seconded the motion. All present voted aye. No nays. Motion carried. Absent : Linda Martin.

 Review of the Standards for Il Public Libraries Chapter 10 was held.
