Call to Order:

The special meeting of the Hope Welty Public Library (HWPL) District board of trustees was held at the library on December 29, 2011.  The meeting was called to order at 11:00 AM by  president, Irma Joynt.  The following board members answered roll call: Irma Joynt, Mary Hissong, Genea Lawler, Janice Lonnon,, Nancy McDermith, Tracy Mogged and Chelle Shively. 

Old Business

            Renovation/Grant Money -

            Chelle Shively reported on her phone conversation with Mark Shaffer regarding the grant.  All necessary information is on file with his office.   He did need a statement from the president or vice president on the date of Sandra Hayes’ resignation.  The grant money should not be used for books, TV or furniture.  She will contact him again to see if the money could be used on the roof.

            Audit

            Chelle Shively talked with the auditor, D.J. Johnson.  He had a list of 9 items he needs.  Nancy McDermith will help Chelle gather these items and get them to the auditor as soon as possible..

            Resignation Letter

            Tracy Mogged moved to accept the letter of resignation from director, Sandra Hayes, as presented to the board.  Mary Hissong seconded the motion.  A roll call vote was taken as follows:  Irma Joynt - yes; Mary Hissong - yes; Genea Lawler - yes; Chelle Shively - yes; Nancy McDermith- yes; Janice Lonnon - yes; Tracy Mogged - yes.  Motion carried.

            Genea Lawler moved to pay Sandra Hayes the 12 remaining personal days she had coming.  Tracy Mogged seconded the motion.  A roll call vote was taken as follows:  Irma Joynt - yes; Mary Hissong - yes; Genea Lawler - yes; Chelle Shively - yes; Nancy McDermith - yes; Janice Lonnon - yes; Tracy Mogged - yes.  Motion carried.

            Hiring procedures

            Genea Lawler had gathered some information on the hiring process.  A masters degree in library science is recommended;  however, a bachelor degree will be accepted if no one qualified applies.

            Appoint committees

            The president, Irma Joynt, appointed the following committees:  Grant and Audit Committee - Chelle Shively and Nancy McDermith;  Personnel and Hiring Committee -  Genea Lawler and Janice Lonnon.

            IDOL 

            Tracy Mogged made contact with the state IDOL person and Rick Dial from the Decatur Labor Union.  The library has furnished them with all required information.  They are waiting on  information from Brent McNamara.

Next Meeting

            The next meeting of HWPL board of trustees will be held on January 9, 2012 at 4:30 PM.

Meeting Adjourned

Tracy Mogged made a motion to adjourn at 12:15 PM.  Motion seconded by Genea Lawler.  All present voted aye.  Motion carried.
