Call to Order:

The regular meeting of the Hope Welty Public Library (HWPL) District board of trustees was held at the library on December 12, 2011.  The meeting was called to order at 4:30 PM by the President.  Present were board members: Irma Joynt,  Mary Hissong, Genea Lawler, Janice Lonnon, Nancy McDermith, Tracy Mogged, Chelle Shively and Library Director, Sandra Hayes.

Public Forum:

No one was present for public forum.

Minutes of the last HWPL meeting:

Janice Lonnon moved to accept the minutes of the November 14, 2011 meeting and special meeting, November 18, 2011 as read and Mary Hissong seconded the motion.  All present voted aye.  Motion carried.

Treasurer’s Report:

The treasurer’s report was given by the treasurer, Chelle Shively.  There is a balance of $120,430.31 before paying this month’s bills.  Expenses for this month are $26,416.25.  Tracy Mogged moved expenses be allowed and Nancy McDermith seconded the motion. All present voted aye; motioned carried. 

Announcements:

  NONE

Time for Librarian: (report attached)

            -  Sandi will have Jill Dodson take care of opening the mail when Sandi is out of the office.

            -  Nancy McDermith made a motion for the following items to be purchased with the grant money before the end of the year:  rug, 4 chairs, anti-fatigue mats, curtain rod, curtains, signage, and possibly TV and cart.  Tracy Mogged seconded motion. All present voted aye.  Motion carried.

            - Genea Lawler will drop off the necessary papers to the auditor tomorrow.

            -  Sandi will provide trustees further information on the Open Meetings Act online training

Old Business

            -  Tracy Mogged made a motion to change the Meeting Room Agreement to “Local community groups and non profit groups may use the meeting room at no charge. 

- For profit groups will pay fees”  Chelle Shively seconded the motion.  All present voted aye.  Motion carried.

            - Staff job descriptions - will be reviewed at January meeting.

            -  Open House is on hold

            - Book Sale Dates - a book sale will be held on Garage Sale Day, the last Saturday in July.

Next Meeting Date

The next regular meeting of the HWPL District Board of Trustees will be held January 9, 2012 at 4:30 PM.

            Mary Hissong moved to adjourn the meeting of the HWPL District Board of Trustees at 5:57 PM.  Chelle Shively seconded the motion..  All present voted aye.  Motion carried.
